Job Title: Assistant Development Manager
Salary: £35,000 – £40,000 per annum
Location: UB3
Working Hours: 8:00am – 17:00pm
Role Purpose
The Assistant Development Manager will provide high-quality administrative, operational, and management support to the Development Manager. The role is integral to the successful day-to-day operation of the Estate, ensuring policies, procedures, and company standards are upheld while delivering a consistently high level of service to residents, contractors, and stakeholders.
Key Responsibilities
- Support the Development Manager in the day-to-day management of the Estate.
- Ensure estate compliance is maintained, including reporting relevant defects to the Client during the defect liability period.
- Assist in tracking, updating, and resolving defects with the Client.
- Ensure actions are completed within agreed Service Level Agreements (SLAs).
- Carry out site visits via DataStation and ensure all visits are completed on time.
- Proactively identify issues, solve problems, and recommend service improvements.
- Maintain effective working relationships with existing and future estate contractors.
- Supervise and manage contractors in relation to performance, value for money, and compliance.
- Indirectly supervise on-site staff including administrators, yard staff, handymen, and cleaners.
- Tender for high-value contracts in compliance with Section 20 requirements.
- Liaise with contractors attending site, manage key handling, and follow up where keys are not returned by the end of the working day.
- Check, approve, or query contractor invoices as appropriate.
- Manage the estate purchasing and ordering system (MRI Qube), raising purchase orders as required.
- Assist in managing budgets in line with Estate Management direction.
- Order and manage stock for cleaning supplies, stationery, and first aid materials.
- Maintain and update DataStation, ensuring records remain accurate and current.
- Update, amend, and manage estate and facilities management databases.
- Produce reports as directed by the Development Manager, including gym usage and DataStation reports.
- Manage the fingerprint clock-in system and reconcile invoices against recorded attendances.
- Act as a key point of contact for residents, lessees, tenants, estate agents, surveyors, and clients.
- Deal with resident enquiries, escalating issues where appropriate.
- Prepare and distribute electronic welcome packs to new tenants and lessees, following up on missing information.
- Communicate with car parking management companies (temporary and permanent) and administer all related correspondence.
- Administer the sale and programming of fobs and remotes as required.
- Take water meter readings upon resident request and record monthly estate water and electricity readings.
- Manage telephone, email, and written correspondence, ensuring timely responses and appropriate follow-up.
- Maintain electronic and paper filing systems for the property management team.
- Plan and organise the Estate calendar to ensure efficient time management.
- Meet and greet residents, clients, and contractors as required.
- Check estate internal postboxes regularly.
- Update building noticeboards as required.
- Write and circulate monthly newsletters, circular letters, and resident communications.
- Handle general office duties including photocopying, post, and registered mail.
- Work in accordance with the Landlord & Tenant Act and all relevant legislation.
- Ensure activities are delivered within approved budgetary constraints.
- Adhere to company policies, procedures, and health & safety requirements.
Essential Experience & Skills
- Proven experience in leasehold residential property management, ideally within large London estates (currently approx. 1,200 units).
- Previous experience using MRI Qube (highly desirable).
- Excellent customer service and communication skills with a strong resident-focused approach.
- Ability to work effectively as part of a team and support wider estate operations.

- Ideally hold an Affiliate TPI qualification.
